Understanding Tasks
Tasks are actionable items tied to each deal in your pipeline. They help you follow up at the right time and ensure you don't miss critical steps in the acquisition process.
Two Types of Tasks
System tasks are automatically created based on your pipeline stage. Custom tasks are ones you create yourself for specific follow-ups.
System Tasks
When a deal enters a new pipeline stage, Searcher OS automatically creates relevant tasks. These are tailored to that stage:
Interested
- Request NDA
- Receive NDA
NDA Signed
- Sign NDA
CIM Review
- Receive CIM
- Run financial calculator
- Analyze CIM
Conversations
- Call with Broker
- Call with Seller
- In-person with Seller
- Determine offer & transition plan
- Draft LOI
LOI
- Send LOI
- Share LOI details with 2-3 Lenders
- Obtain Signed LOI
Due Diligence
- Notify lender under contract
- Create a virtual deal room
- Engage legal support
- Engage Q of E expert
- Verify tax returns & P&L match CIM
- Meet key execs (if allowed)
- Engage your CPA for tax planning
- Negotiate final terms
- Begin transition planning
- Draft Purchase Agreement
- Complete Quality of Earnings
- Sign Purchase Agreement
Closed
- Create LLC and obtain EIN
- Set up bank accounts and obtain credit card
- Negotiate 10-year real estate lease
- Obtain insurance
- Align with lender on final closing date
- Close the deal
Auto-Completing Tasks
Some tasks are automatically marked as complete when the system detects relevant activity:
- Receive CIM: completed when a CIM is received for the deal
- Sign NDA: completed when a signed NDA is received
- Call with Broker / Call with Seller: completed when a matching broker email arrives during the Conversations stage
Creating Custom Tasks
Add your own tasks for deal-specific follow-ups:
- Open a deal in your pipeline
- Type into the inline "Add a task..." field in the deal's task panel
- Optionally pick a due date with the calendar icon
- Press Enter and the task appears in your list
System tasks display a lock indicator and can't be renamed or deleted. Custom tasks are fully editable and are never auto-completed by the system.
Task Views
Access your tasks in two ways:
- Tasks page: All tasks across all deals, filterable by stage
- Deal detail: Tasks for a specific deal
Staying On Top of Due Dates
Tasks that are due soon or overdue surface in your dashboard priority list and on the Tasks page, so you'll see what needs attention without digging into each deal.
